<br />I. PURPOSE
<br />
<br />The purpose of this policy is to establish the Department’s expectations,
<br />employee responsibilities and monitoring guidelines regarding unplanned
<br />absences.
<br />
<br />II. POLICY
<br />
<br />The policy of the Surprise Police Department is to effectively manage the use of
<br />unplanned absences as part of an overall effort to ensure sufficient staffing for all
<br />functions within the Department.
<br />
<br />III. DEFINITIONS
<br />
<br />Absence
<br />Any time an employee is not actually working during
<br />the employee’s scheduled work hours, regardless of
<br />whether the absence is approved or not approved.
<br />Employee
<br />A person working for the Department for
<br />compensation who occupies a position subject to
<br />appointment, promotion, demotion, or removal by
<br />an appointed official or city council.
<br />Exempt Employee
<br />An employee who, due to the nature of the duties of
<br />their employment position with the Department, has
<br />been determined to be exempt from the minimum
<br />wage and overtime provisions of the Fair Labor
<br />Standards Act (FLSA).
<br />IPR
<br />Individual Performance Record.
<br />Monitoring Period
<br />A 12-month period of time using a rolling calendar.
<br />Non-exempt Employee
<br />An employee who, due to the nature of the duties of
<br />their employment position with the Department, has
<br />been determined to be non-exempt from (covered
<br />by) the minimum wage and overtime provisions of
<br />the Fair Labor Standards Act (FLSA).
<br />Occasion
<br />One or more consecutive days or partial days of
<br />unplanned absence taken for the same reason.
<br />Planned Absence
<br />Any approved absence that has been requested
<br />with at least a 10 hour notice (12 hour notice for
<br />Communications employees), generally in writing,
<br />on a Leave Request Form and has been approved
<br />by the employee’s supervisor.
